Summary/Objective:

The Sample Coordinator will be responsible for managing the product samples that come into our LA office, front facing vendor samples communications and internal product documentation. This is an entry level position working closely with our buyers and Sample Manager at the LA Studio 5-days/week.

Essential Functions:

• Front facing communications with multiple vendors via email requesting samples, confirming deadlines can be met, pushing for urgent product and communicating delays to team members
• Document, request and prepare samples in a timely manner for Merchant team monthly style outs
• Receive and organize all incoming and outgoing samples for the Merchant team and cross functional depts
• Confirm samples for fit, quality, color; accurately document and communicate sample discrepancies to the Buying Team
• Log all samples in merch sample docs, and sort them by debut date
• Prepare samples to be handed off seamlessly to studio team
• Assist the Buying team with unboxing, shipping and tracking in a timely matter
• Simultaneously track reference samples for review from multiple brands and ensure sample-related deadlines are met as well as ensure samples are returned to vendors
• Open and close the LA Merchant office
• Organize and maintain the LA Merchant sample area in the office
• Assist with buying meetings: check in vendors, maintain vendor LA studio appts, receive in-coming drop off samples as well as pickups with vendors
• Manage collection of spec sheets from vendors for Copy team
• Work cross functionally with merchants, marketing, influencer team and studio sample manager
• May perform other duties as assigned in support of the overall success of the company

• Demonstrated knowledge and proficiency with Windows, Mac and Google products
• Advanced Microsoft Excel skills is a plus
• Knowledge of standard applications (Slack, Office365, Chrome, etc.)

Work Environment:

• Works in an indoor office environment, temperature controlled
• Use office equipment such as computer, mouse, keyboard, printer
• Occasionally lift or pull up to 40 pounds

Qualifications, Education and Experience:

• High school diploma required; bachelor’s degree preferred
• 1-3 years of experience or internships
• Prior experience in e-commerce, retail, or consumer product industry desired

Expected Hours of Work: Full Time, In Office

Standard work hours are 830am-5pm or 9am-530pm.
